DESCRIPTION: Reports to: Director of Patron Services
Direct Reports: Volunteers and part time front of house staff when on Front of House duty.
JOB SUMMARY
Reporting to the Director of Patron Services, the Patron Services Coordinator is responsible for activities related to Volunteer Coordination, Front of House and Patron Services. This position acts as back-up for the Front of House Manager and runs Front of House shifts for up to two performances per week. This position supports our volunteers through recruitment, training, communications, and scheduling. The Patron Services Coordinator also supports Royal Manitoba Theatre Centre by implementing accessibility best practices and discovering continuous ways to make our theatres inclusive.
KEY RESPONSIBILITIES
Volunteer Coordination
• Recruitment and selection of volunteers.
• Training, management, and corrective action/direction of volunteers.
o Training of shift duties and Royal MTC policies and practices, including health and safety, code of conduct, violence and harassment, anti-racism and accessibility.
• Volunteer scheduling, tracking and building of teams.
• Constant support to volunteers to give them what they need to succeed.
• Maintain system for volunteer applications, tracking and orientation scheduling.
• Maintain volunteer communication lines, including voicemail and email; Ensure outgoing voicemail is current with all required information.
• Work with Development Staff on corporate volunteer opportunities.
• Work with School Boards to recruit student volunteers.
• Work with Director of Community Engagement to identify sources of community volunteers.
Front of House Support
• Front of House coverage for up to two performances per week.
• Coverage for student performances (daytime) as required.
• Support of Opening Night receptions, performances and special events.
• Other Front of House coverage as required at both the Mainstage and Warehouse Theatres.
• Prepare duty reports, reconcile cash floats, lock, and secure the venue at the end of shift.
Accessibility Coordination
• Interpreting and applying the provision of the Accessibility Manitoba Act (AMA) as it applies to Royal Manitoba Theatre Centre patron experience.
• Perform environmental Front of House audits of the John Hirsh Mainstage and Tom Hendry Warehouse Front of House spaces and experiences.
• Be an active member of the internal Accessibility Working Group.
• Provide accessibility training for Front of House staff and volunteers.
• Collaborate with the Director of Patron Services to develop policies and procedures which ensure compliance with the Accessibility Manitoba Act.
Patron Services Support
• Manage and process charity ticket vouchers and donation requests.
• Process approved complimentary tickets.
EDUCATION AND EXPERICE REQUIRED
• Previous volunteer management.
• Experience working in the arts or not-for-profit.
• Experience working in a Front of House leadership capacity, be it in theatre, hospitality or events.
• Post-secondary education preferred but not required.
COMPETENCIES REQUIRED
• A passion for theatre and the arts.
• Confidence with basic administrative duties, such as writing, technology and database management.
• Strong communicator.
• Authentic gratitude for the role of volunteerism in our community and the people that do it.
• Detailed-oriented with strong ability to prioritize and follow-through on tasks and projects.
• Comfortable with technology and patron and volunteer data bases.
• While this position is supervised, the role requires the confidence and maturity to run a Front of House shift with up to 800 audience members, volunteers and staff while on duty.
• Excellent under pressure and on the spot troubleshooting.
• A calm disposition, that creates an environment of confidence for our audience and volunteers.
• Candidates must have previously, or successfully complete the Manitoba Smart Choices certification and St. John Ambulance basic first aid.
PHYSICAL WORKING CONDITIONS
Work conditions is primarily that of desk/computer work. Front of House responsibilities requires high mobility and the ability to carry up to 25 pounds and be able to climb stairs and move about the theatres and lobbies swiftly for extended periods of time.
HOURS OF WORK
Approximately 80% of the time will be traditional office hours of 9am – 5pm, Monday to Friday. The remaining 20% will require evening and weekend work, supporting shows and events. This equation will not apply every week, and is not consistent, this is just a gauge.

Salary range: $27,000 - $33,000 (depending on qualifications and experience).
