• 2 positions from June 1 – August 28, 2020 (13 weeks)
• 2 positions from June 22 – August 28, 2020 (10 weeks)

Reports to Director of Member & Festival Services; Also functionally to Member & Festival Services Manager and Manager of Accounting & Administration

Rate of pay: $13.00/hour

40 hours per week; extensive overtime may be required during the weeks of the festival; must be available daytimes, evenings, and weekends.

Job Purpose
The Folklorama operations team requires additional staff to support the activities leading up to, during, and after the festival. The Festival Support Coordinator reports to Folklorama’s Member & Festival Services department, also functionally to Manager of Accounting & Administration. On a day-to-day basis, the Festival Support Coordinator will be in direct communication with the Member & Festival Services Manager. The Member & Festival Services Manager will be evaluating the Festival Support Coordinator at the end of their term of employment.

The Festival Support Coordinator is responsible for all areas related to the servicing of festival pavilions, logistics specific to marketing programs, special events, and inventory management. The incumbent will be working alongside three (3) other Festival Support Coordinators.

Duties & Responsibilities
• Collaborating with three (3) other Festival Support Coordinators to achieve common goals with respect to activities leading up to, during, and after the festival
• Attending weekly Festival Support Team meetings to be aware of important updates and upcoming task deadlines
• Efficiently packing and distributing packages between the Folklorama office, festival pavilions, and other event venues; the incumbent will have access to a designated Folklorama delivery vehicle for work purposes
• Synchronizing the Festival Support Team’s scheduling use of and general maintenance of all Festival vehicles
• Working closely with onsite pavilion technicians to assist with digital ticketing support, including the training of set-up and dismantling of ticketing equipment
• Maintaining open and clear communication channels between the Folklorama office and festival pavilions by sharing the necessary information to come to a satisfactory solution; servicing pavilions in a timely manner
• Assisting Manager of Accounting & Administration with pavilion admissions end-of-day summary
• Accurately tracking inventory (e.g. digital ticketing equipment, signage) and preparing reliable inventory reports to Folklorama Accounting department; providing a post-Festival audit of inventory items
• Sharing recommendations and best practices on all areas of responsibility at the end of the incumbent’s term of employment with the Member & Festival Services Manager
• Supporting special events organized through the other Folklorama operational departments (Travel, Talent, Teachings) and Ambassador Appearance events as required
• Collating document packages for upcoming meetings as required
• Other duties supporting festival activities as assigned by the Director of Member & Festival Services and the Executive Director

Qualifications

Education & Experience
o Must have a minimum high school diploma
o Previous volunteering experience at pavilion(s) will be considered an asset

Credentials
o Must have valid Manitoba Class 5 driver’s license and a clear driving abstract as driving is a key job component of this position

Abilities & Skills
o Must be able to lift 30 lbs unassisted on a frequent basis (e.g. printed programs, signage flags, banners)
o Proficient in Microsoft Office
o Time management skills; ability to coordinate and prioritize multiple assignments in a fast-paced environment
o Comfortable in learning and working with technology (e.g. smartphones, tablets, digital ticketing equipment)
o Strong attention to detail, logical thinking, ability to troubleshoot
o Active listening, empathy, clear communication, conflict resolution
o Proactive, action-oriented to fulfill obligations to the team’s success
